Data Protection
The protection of personal data is of high significance for COMINDIS. This data protection declaration informs visitors to our website which data is collected, processed and used for which purposes when using our website.
1. Responsibility for data processing
COMINDIS shall be responsible for the lawful collection, processing and use of users’ data.
2. Collection and storage of personal data and the nature and purpose of their use
2.1 When visiting the website
When you access our website, the browser used on your terminal device automatically sends information to the server of our website. This information is temporarily stored in a so-called log file. The following information is collected without your doing and stored until automatic deletion:
- IP address of the requesting computer,
- Date and time of access,
- Name and URL of the retrieved file,
- Website from which the access is made (referrer URL),
- the browser used and, if applicable, the operating system of your computer as well as the name of your access provider.
The aforementioned data will be processed by us for the following purposes:
- Ensuring a smooth connection set-up of the website,
- ensuring a comfortable use of our website,
- evaluation of system security and stability, and
- for further administrative purposes.
The legal basis for data processing is Art. 6 (1) p. 1 lit. f of Regulation (EU) 2016/67 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter: “GDPR”). Our legitimate interest follows from the data collection purposes listed above. In no case do we use the collected data for the purpose of drawing conclusions about your person.
In addition, we use cookies and analysis services when you visit our website. You can find more detailed explanations of this in sections 4 and 5 of this data protection declaration.
2.2 When registering for our newsletter
If you have expressly consented in accordance with Art. 6 (1) p. 1 lit. a GDPR, we will use your e-mail address to send you our newsletter on a regular basis. To receive the newsletter, it is sufficient to provide an e-mail adress.
Unsubscribing is possible at any time, for example via a link at the end of each newsletter. Alternatively, you can also send your request to unsubscribe via e-mail to mail@comindis.com at any time.
2.3 Processing of personal data in connection with the use of “Teams“ and “Zoom“
In the following, we would like to inform you about the processing of personal data in connection with the use of “Teams”, as well as “Zoom“. The provider of Teams is Microsoft, CA, USA. a. Data processing
COMINDIS (“Organizer”) uses, among other things, online conference tools to communicate with webinar participants. If you communicate with us through video or audio conference via the internet, your personal data will be collected and processed by the organizer and the provider of the respective conference tool.
The conference tools collect all data you specify to use the tools (e-mail address, name, if applicable function and company). In addition, the conference tools process the duration of the conference, the start and end (time) of your participation at the conference, the number of participants and other “contextual information” related to the conference.
b. “Contextual information” related to the communication process (metadata)
In addition, the provider of the tool processes all technical data necessary to handle online communication. This includes in particular IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker and the type of connection.
When content is shared, uploaded or otherwise made available within the tool, it is also stored on the servers of the tool providers. This content includes but is not limited to cloud recordings, chat/instant messages, voice messages, uploaded photos and videos, files, whiteboards, and other information exchanged while using the service.
Please note that we do not have complete control over the data processing operations of the tools used. Our options are largely determined by the corporate policy of the respective provider. For further information on data processing by the conference tools, please refer to the data protection statements of the respective tools used, which we have listed below this text.
c. Purpose and legal basis
The conference tools are used to communicate with potential or existing contractual partners or to provide customers and contacts of the organizers with certain services, e.g. additional seminars or webinars or to offer professional information (Art. 6 para. 1 p. 1 lit. b GDPR). In addition, the use of the tools serves the general simplification and acceleration of communication with the organisers (legitimate interest within the meaning of Art. 6 (1) lit. f GDPR). If consent has been obtained, the tools in question are used on the basis of this consent; the consent can be revoked at any time with effect for the future.
d. Duration of storage
The data collected directly by the organizers via the video and conference tools is deleted from our systems as soon as you request deletion, revoke your consent to storage or the purpose for the storage no longer applies. Stored cookies remain on your terminal device until you delete them. Mandatory legal retention periods remain unaffected by this.
We have no influence on the duration of the storage of your data, which is stored by the operators of the conference tools for their own purposes. For details please contact the operators of the conference tools directly.
It cannot be ruled out that the data processed with Teams or Zoom will be transferred to third countries (e.g. the USA).
Microsoft has Binding Corporate Rules (BCR) that have been approved by the relevant European data protection authorities. These are binding corporate rules that legitimise the transfer of company data to third countries outside the EU and the EEA.
e. Conclusion of a contract for the processing of orders
We have entered into an order processing contract with the provider of Teams and Zoom and fully implement the strict requirements of the German data protection authorities when using Teams or Zoom.
3. Disclosure of data
Your personal data will not be transferred to third parties for purposes other than those listed below.
We will only share your personal information with third parties, if:
- you have given your express consent to this in accordance with Art. 6 Para. 1 S. 1 lit. a GDPR,
- the disclosure is necessary in accordance with Art. 6 (1) sentence 1 lit. f GDPR for the assertion, exercise or defence of legal claims and there is no reason to assume that you have an overriding interest worthy of protection in the non-disclosure of your data,
- the event occurs that a legal obligation exists for the disclosure pursuant to Art. 6 (1) sentence 1 lit. c GDPR, or
- this is legally permissible and necessary according to Art. 6 para. 1 p. 1 lit. b GDPR for the processing of contractual relationships with you.
4. Cookies
We use cookies on our website. These are small files that are automatically created by your browser and stored on your terminal device (laptop, tablet, smartphone or similar) when you visit our site. Cookies do not cause any damage to your terminal device and do not contain any viruses, trojans or other malware.
In the cookie, information is stored that results in connection with each specific terminal device used. However, this does not mean that we gain direct knowledge of your identity.
On one hand, the use of cookies serves the purpose to make the use of our offer more pleasant for you. We use so-called session cookies to recognise that you have already visited individual pages of our website. These are automatically deleted after you leave our site.
In addition, we also use temporary cookies to optimise user-friendliness, which are stored on your terminal device for a certain fixed period of time. If you visit our site again to use our services, it is automatically recognized that you have already been with us and what entries and settings you have made so that you do not have to enter them again.
On the other hand, we use cookies to statistically record the use of our website and to evaluate it for the purpose of optimising our offer for you (see section 5). These cookies enable us to automatically recognise that you have already been to our website when you visit it again. These cookies are automatically deleted after a defined period of time.
The data processed by cookies is necessary for the aforementioned purposes to protect our legitimate interests and those of third parties in accordance with Art. 6 (1) sentence 1 lit. f GDPR.
Most browsers automatically accept cookies. However, you can configure your browser so that no cookies are stored on your computer or a message always appears before a new cookie is created. However, the complete deactivation of cookies may lead to you not being able to use all the functions of our website.

5. Web analysis
In the context of hosting, we process personal user data for the purpose of web analysis on the legal basis of legitimate interest pursuant to Art. 6 para. 1 lif. f GDPR (search and analysis of errors on our website, evaluation of the use of our website, derivation of measures for the future development of our website) until objection.
The data is not forwarded to third parties and is already anonymised in the first processing step. Therefore, no storage of personal data beyond the first processing step takes place.
You can object to the processing of your personal user data by activating the Do-Not-Track option in your web browser. Our web analytics software respects this setting and does not process any personal data when the Do-Not-Track setting is enabled.
